Reconciling mada and cashier sales with your bank account

Reconciling mada sales means confirming every card transaction in the cashier report appears in the terminal settlement, then reaches your bank after fees. The easiest approach is to reconcile daily per shift instead of waiting for month-end.

Why differences appear

Common causes: a card sale recorded as cash, a voided terminal transaction still in the cashier, card fees, and settlement deposits arriving a day or two later.

Daily reconciliation steps

For every shift or business day:

  1. 1Print the shift-close report split by payment method (cash, mada, cards).
  2. 2Print the terminal settlement for the same period and compare totals and counts.
  3. 3Resolve any mismatch immediately with the cashier while it is fresh.
  4. 4When the deposit lands, match it to the settlement net of fees and book fees as an expense.
  5. 5Move unresolved differences to a suspense account and review weekly.

Tips to reduce shortages

Only allow payment-method changes after closing an invoice with supervisor approval, and have each cashier close their own shift.
